Executive coordinator to the Ambassador

The Embassy is now recruiting for an executive coordinator to the Ambassador to strengthen the coordination, support and gatekeeping that is crucial for the Embassy’s success. We’re searching for a colleague with excellent interpersonal skills who has ability to organize time, work independently, coordinate, and prioritize multiple tasks to ensure that deadlines are met, and task are processed in a timely manner.

Sweden and Colombia have excellent diplomatic relations that’s spans over 150 years. The ambassador is the head of mission and represents Sweden.  The Embassy of Sweden in Bogotá covers political, commercial and development cooperation relations with Colombia, Ecuador, and Venezuela, as well as regional cooperation in Latin-American. The Embassy also provides consular services to Swedish nationals and migration services to non-nationals.

Role and main responsibilities 

  • Coordinating and gatekeeping the Ambassador's agenda (meetings, visits, documents etc.)
  • Managing the Ambassador's correspondence and contacts as required
  • Arranging logistics for travel and events for the Ambassador and incoming delegations on high level
  • Act as focal point for the Protocol Department at Ministry for Foreign Affairs and writing verbal notes
  • Supporting with the organization of events and public diplomacy activities of the Embassy
  • Other tasks as required.

Requirements

  • University or technical degree in an associated field such as Administration, Management, or other relevant discipline.
  • At least 5 years of relevant professional experience in similar positions, for example at another Embassy or in an international organisation.
  • Excellent command of written and spoken Spanish and English
  • Strong computer skills and proficiency in using Microsoft Office

  • Ability to take initiatives.
  • Ability to organize time, coordinate, and prioritize multiple tasks to ensure that deadlines are met, and task are processed in a timely manner.

We offer

Terms and conditions apply through Colombian law and extra conditions apply through Swedish Foreign Ministry agreement such as competitive salary, 39,5 working hours, 28 vacation days, annual wellness and health promotion allowance and six months of paid maternity or paternity leave etc.

Information

An appropriate Colombian work visa will be required if not a Colombian citizen or Permanent Resident. All employees must have a legal entitlement to live and work in the country.
